What is the role?

Applications are sought for suitably qualified applicants wishing to be considered for the Commercial Support Team Member role within Southern Command. The role sits within the Finance, Procurement & Commercial Support Team, and forms part of the Command Corporate Services Unit (CCSU). 

 

Within this role you will manage professional networks, serve as a contact point for enquiries and escalations and ensure smooth communication within the Command. This position supports Southern Command and its Executives, working closely with the Office of the Assistant Commissioner and the Southern Command Executive Leadership Team to maintain effective relationships with internal and external stakeholders, in the provision of organisational commercial support functions. 

 

Responsibilities include coordinating accommodation projects and resources for Southern Command and liaising with relevant stakeholders to achieve positive results. The role requires proactive problem-solving and the ability to escalate complex issues when necessary. Applicants are highly motivated and client-focused professionals, with a dynamic and flexible approach to their work.

 

The role requires adherence to regulatory framework, Codes of Conduct and AFP Governance Instruments. It is expected that the successful applicant will deliver on the core responsibilities and meet any requirements of the position as outlined below. 

What will you do?

This role provides consistent high quality customer service through the management of commercial support functions internal to the AFP and liaison with external stakeholders that builds a positive reputation and trust within the business area.

 

The role contributes to the regular review and evaluation of policies and processes to enhance the delivery of services to the Command, as well as coordination of projects and activities to provide commercial and CCSU deliverables to the Command. 

 

The responsibilities may include the following:

 

  • Providing support to Senior Team Members to effectively manage Commercial Support related projects for Southern Command by utilising project management and problem-solving skills; 
  • Applying subject matter expertise and responding to Commercial Support enquiries relating to property, procurement, assets, fleet and logistics support in a timely manner;
  • Drafting and disseminating internal Southern Command communication, including notifications of scheduled works, events and accommodation matters;
  • Undertaking procurement of office supplies and equipment;
  • Management of internal facilities including but not limited to, accoutrement lockers, storage keys and digital display screens;
  • Coordinating the set up/pack down for office events and activities.
  • Coordinating fingerprinting of new starters, and acting as a point of contact for drug testing within Southern Command;
  • Liaising with facilities management personnel (JLL) for property matters to ensure AFP facilities are fit for purpose and safety matters are resolved in a timely manner;
  • Coordinating Southern Command Fleet tasks including utilisation reporting, servicing, fuel cards, insurance claims, parking and infringements notices, and maintaining detailed and accurate information on all the Command fleet vehicles;
  • Maintaining currency in subject matter expertise through ongoing professional development and learning opportunities outside the formal education process.

Essential Requirements

  • Applicants must be an Australian Citizen.
  • A Negative Vetting 1 (Secret) security clearance or the ability to obtain one.
  • Proven ability to work well as part of a team and take initiative in a fast-paced agile environment. 
  • Demonstrated experience in identifying and addressing issues proactively.
  • Excellent time management and organisational abilities, strong administration skills, capable of handling multiple tasks simultaneously. 
  • Ability to respond flexibly to changing priorities and managing expected challenges with professionalism and a positive attitude. 

Desirable Requirements

  • Experience in fleet administration, procurement, project and/or asset management.
  • A strong customer focus, excellent communication skills and the ability to tailor communication with the audience in mind.
  • Intermediate knowledge of Microsoft Office. 

Additional Information

  • This role is located in Victoria and successful applicants are expected must be prepared to relocate to and be based in Victoria
  • This role is an AFP Band 4 level role
